Grant External Guests Editing Access to Files in Microsoft Teams

1.0 Audience

  • Employees (Staff, Faculty)

 

2.0 Purpose 

The purpose of this article is to provide instructions on how to grant external guests editing access to files within Microsoft Teams. This process applies to Teams accessed via a web browser or the desktop application.


 

3.0 Instructions

  1. Navigate to the Team in Microsoft Teams. 
  2. Confirm the external user is added as a guest:
    1. Click the three dots (…) next to the Team name.
    2. Select Manage Team and verify the user is listed as a Guest.


 

  1. Go to the channel containing the file you want to share.

     
  2. Click the three dots (…) next to the file and select Manage Access.

 

  1. Choose one of the following options:
    1. Option 1: Under the Groups heading, change the group you'd like to give access to to Can edit. This allows all members of that group to edit the file.

       
    2. Option 2: Click the icon with the person and a + sign at the top right of the window to grant access, then you can add the user, and select Can edit.


 

  1. If the guest uses another organization’s Teams, they must switch to Mines Teams:
    1. Click their profile picture or initials.
    2. Select Colorado School of Mines from the list of available organizations.
