I am a student and need to access my forms & agreements. How do I go about that?

Depending on the form, an email link would be sent directly to you. If an email was received, please refer to the link within the email to access the necessary forms.
Other forms can also be accessed via My Mines and click on "Trailhead" and then within the Student section. Please note that for general student access the web client is encouraged to access and/or submit these forms.

 

How do I access OnBase?

There are two ways to access OnBase: the web client, and the desktop (Unity) client. The web client is accessible using My Mines; if the icon for OnBase is not visible to you, please contact support for inquiry. The Unity client installation URL must be initially ran from Microsoft Edge browser.

 

I receive the message, "Login failed. Either the credentials were incorrect or the specified account is locked." when trying to login to the web client. What do I do?

Your OnBase login is associated with your My Mines credentials. For security reasons, the system will not specify if the account is invalid or if it is locked. If 5 failed login attempts are made within a rolling 5 minute window, your account will be locked. Please wait 10-15 minutes after 5 login failures before trying again, and if the issue persists contact support or wait until the next day for an automatic unlock.

 

Is my browser supported for the OnBase web client?

The web client functionality is limited on iOS and Android devices.

 

I am getting an error that my browser is not a supported version for OnBase. Can someone help me resolve this?

Please submit a ticket to help desk support for software installation/upgrade if you do not have administrative privileges to perform this browser upgrade.

 

I forgot my password, how do I reset it?

Logging into OnBase uses your My Mines credentials. If there is an issue logging in, please contact support.

My workstation is a Linux or Macintosh operating system, can I still access OnBase?

The OnBase Unity client is only available to users using Windows.

The OnBase web client is available to all users using Windows, Linux, and MacOS workstations.

Note: OnBase uses your My Mines credentials.

 

Scanning documents using a TWAIN driver causes the Unity client to lockup. What do I do?

There is a known issue with scanning single documents in using a TWAIN driver. Suggestion is to use the generic USB driver or use the TWAIN driver when batch scanning into a queue.

 

Viewing image-based documents in the Unity client results in a popup "Snowbound DynaLink Error" - IMG_decompress_bitmap . What do I do?

There is a missing C++ prerequisite on the affected workstation. Submit a ticket requesting the additional prerequisites get installed / verified on your workstation.

 

I had the OnBase Unity client installed on my desktop but I cannot find it now. What do I do?

Confirm that the OnBase icon is not in your System Tray by clicking the caret "^" and viewing all of the icons.If the icon is in the tray right click and select "Exit Onbase" and click yes to the popup window. Look for an icon on your desktop "Hyland Unity Client [MinesOnbase]" and double click it to launch. If an update is required, you will be prompted with a window to perform the installation.

How do I install the OnBase desktop client?

Install the OnBase client for Windows please use these instructions.

 

I am prompted to install .NET Framework for the Unity client, is this required?

Yes, the Unity client requires .NET Framework 4.7.2 to be installed on your workstation. The link below will provide the necessary installer for this; you will need administrator privileges to perform this installation.

I have large files to upload, what are the file upload limits for OnBase?

Web client file upload limit is 50MB, with a timeout of 3 minutes.

Unity client file upload is 100MB with a timeout of 6 minutes.

 

I'm new to using OnBase, is there training or documentation on how to use it?

Each department received documentation and training directly related to their department prior to the initial launch of OnBase to the campus. Please reach out to your department supervisors for inquiry for this training.

 

Is OnBase integrated with Banner?

OnBase can retrieve documents related to Banner data from the OnBase application by using relational keywords. The Banner data is queried real-time during an import or batch process of documents.

I'm having issues connecting to OnBase when off of campus.

At the present time, OnBase web client is accessible to on and off campus. However, the OnBase Unity client is only accessible to individuals that are on the campus network either by use of campus WiFi, ethernet connection, or use of VPN when off-campus.

 

OnBase will not display my document and I'm having to download a copy in order to view it.

Depending on the file format of the document, OnBase may not be able to display the document internally and depends on an external viewer or application.

 

I need a document, how do I retrieve it?

I have documents to import, how do I do that?

If you only have a few documents to import, you can use OnBase to import electronic documents using the following instructions.

I have a stack of documents that I need scanned into OnBase, how do I go about scanning them in? 

The recommended method is batch scanning. Batch scanning will go into a scan queue, and then an individual will index the documents from the scan queue. Please note that scan queues are limited to selected document types, so be sure to keep this in mind when scanning the documents in when using specific scan queues. It is useful when importing multiple documents to create a scan format. Scan Formats are required when scanning documents into OnBase. I have my documents scanned in, now how do I index them?

This guide offers instructions on how to index documents imported in batches using the OnBase Unity Client. Re-Indexing documents allows for keyword values on stored documents to be modified/corrected, along with changing the document type if necessary.

How do I know which file types are acceptable for uploading into OnBase?

When importing a file, the "File Type" field will auto-populate based on the file's extension. If no match could be found, this field will remain blank. If this occurs, please convert the file so that it matches one of the accepted file types prior to importing. Not adhering to this will cause issues when users go to view the document.
