The project officially kicked off on Monday, 4/29.  As a team, we reviewed the charter along with any approved changes.  Craig & I had aligned with Angie & Evan prior to the kickoff to review assumptions and validate our approach.
 
Andrew asked that we have the systems shut off by the end of October and all contracts terminated or adjusted, assuming that we'll be live in the cloud by September.   To this end, I met last week with our IT stakeholders so we could discuss our contract status for the following vendors (and products):

  • Ellucian (Banner On-prem, Cognos and ODS)
  • DLT (Oracle)
  • Transact (Cashnet)
  • Evisions (Form Fusion)
  • Hyland (Hyland Data Transfer)
 
I’m tracking these applications and vendors separate from the servers using a spreadsheet located on our team site.  We also identified Toad as a desktop database management tool used with Banner On-prem.  We currently have seven licenses.
 
Jennifer Phou confirmed that we can decommission PayMyTuition and the Cashnet/Transact server at the same time as the other on-prem Banner apps when we go-live with SaaS in September.  Of course, the project will make sure any data, contracts and integrations have been transitioned to the SaaS product(s) beforehand.
 
I plan to seek sponsor and manager approval to add Stanley Khoo along with members of the Network Team, Security, and IRSA to the project team.  So far, I’ve approached Sean and Ed who were open to attending meetings.  I expect to know more about each team’s specific involvement as our planning evolves, too.
 
Also at our kickoff meeting, Logan noted that the business application changes that necessitate this project might also warrant a review of any Business Continuity Plans for Mines.  Our sponsors and the ITLT representatives can help decide if BCPs fall into the scope of this project or if these might be the subject of a new project altogether.
 
Craig delivered the latest project update at the latest meeting of IT leadership on 4/24.
 
Next steps:
  • Craig & I meet today to begin using Scrum to plan & schedule our work incrementally in sprints.
  • Schedule a regular meeting with the contract stakeholders to help stay on task and renegotiate each contract.
  • Provide an update at the biweekly AS/Infrastructure/Security meetings; the next one is on Tuesday, 5/14.
  • Continue to meet weekly with Higher Digital to align with Banner SaaS on communication & change management.
  • Create a project visual for the next ITLT meeting.
 
Because we’re using a card wall to track work planned/completed/in-progress, Craig & I will need to come up with a way to translate that consistently into a % complete for TDX.  Stay tuned.

Description

Mines is implementing Banner SaaS, which will replace the on-premises instances of Banner, including the operational data store (ODS) and IBM Cognos Analytics for reporting.

This project proposes to decommission these systems and corresponding servers as the final step after the Banner SaaS and Edify implementations are complete.
