This week, the Mines team was able to begin testing on Friday 4/26 after the completion of the 3^rd Data Migration and the provisioning of our Insights Production environment.
 
With the WBS (Work Breakdown Structure) in place and review in progress, the project continues to be in YELLOW status.
 

Please see below for a high-level update in each area of the Banner SaaS project:
 

• COF Solution (green) – Susan and Vanessa met with Daragh Scaife on 4/23 to understand considerations for a possible deployment of the COF solution to our on-prem environment over the summer (given the shift in go-live date). Overall, it is now understood that there is a heighten risk to transitioning COF in the middle of a term, however, the team must work through several considerations to determine if implementing on-prem is feasible for all parties involved (Student and Finance side). While Daragh reconnects internally with the Ellucian team, Vanessa has requested additional information on Mines on-prem environment refresh schedule and Susan is meeting with Jenny/Loni early next week to better understand two AR customizations associated with the COF solution.
  • Pending:  Susan to touch base with Daragh and report back to Mines with a Summary/update of actions items/next steps.

• ILP (green)– On Thursday 5/2, Victoria was able to test the creation of course sections, and enrollments via bulk jobs. Victoria is in the process of setting up a meeting with Liliana for early next week to test Grade Passback, as well as, working with Loni Cramer to test real-time sync around that same time.
  • Pending: Susan to reach out to Liliana and David for production configuration. Ellucian is waiting on the completion of Victoria’s and Paul testing in order to set up production.

• Form Fusion/Evisions (green) - Loni has been granted access to Form Fusion SaaS and was able to move changes from Form Fusion on-prem to SaaS. The Student team has been notified and testing is in progress.
  • On 5/7: Susan is meeting with Loni and Jenny to discuss the custom jobs, TZRTBIL and TZRTSUM jobs associated with COF.
  • Daragh and Josh are also looking into a SaaS safe solution for these custom jobs.

• Student & Financial Aid BP Validation (green) - Initial business process testing is complete for Financial Aid and nearly complete for the Student module, with the only remaining testing being five bugs (1 go-live critical).  
  • Release for critical bug will be in June 2024.

• Insights (green) – The Insights engagement is complete with the only remaining open item being a closing document from Ellucian consultant, Nikkolette Beckley. The Mines team is assessing internally any possible needs for additional training.
  • On 5/1:  Insights Production Connector was completed.

• Experience (green) – No updates. Final validation and sign-off with Experience card owners has been completed and role finalization for the Experience platform is in progress.

• Degree Works (green) – No updates. Validation of all business processes/functionality has been completed as of 3/6 and the environment is working as expected. The remaining post go-live work includes a review of new upgrade features and scribing, and the Registrar team has been asked if they would like to complete this work prior to go-live (TBD).
  • In Progress -The Mines team indicated they would like the training to occur prior to the Go-Live date. Susan to request resources.

• BP Validation for Student Accounts module (yellow) – Two critical AR bugs releases are scheduled this week, leaving two remaining critical bugs (set to be released in May and June). Testing is tracking at ~50%.
  • There are two remaining critical bugs for AR set to be released in May and June 2024.

• Reporting (yellow) – The connector between Banner SaaS and Edify was completed on 4/26. Ellucian, EAB, and Mines are continuing to meet on a regular basis to iron out remaining issues related to that connector and to plan regarding the move to live nightly updates come September.
  • 5/8:  Sean P. and Jackie T. are meeting to discuss some of the items around getting Insights transformed data brought into Edify.

• EUP (yellow) – The Mines team continues to work through validation of attributes and roles for EUP.
  • 5/1: Susan has shared correct API and other needed technical information with Roman on the Mines team to test Okta integration.
    • Pending validation from Roman on new API and obtaining API key.

• Integrations (red trending yellow) - The Mines team was able to begin testing on Friday 4/26 after the completion of the 3^rd data migration and the provisioning of our Insights Production environment.
  • A testing schedule comprised of three sprints has been established to successfully test integrations with a target completion date of the end of June. Jackie’s team is working with Vanessa, Susan, and Ivan to ensure it is in alignment with the WBS.
  • The Mines team has run part of 21 of 72 integrations. Many of the 72 integrations generate multiples files (each with their own job) - 29 jobs have been run.
    • Successful jobs for integrations (Mines will review files this week) including ARMS (CA/NCAA), Barnes and Noble Course Listing, Lenel, Maxient, and Rec Center Fusion.
    • Bug Update:
      • 14 Bugs have been created in total (4 Closed, 10 Open)
  • In Progress - Mines/Ellucian are working on adding all integration tasks to the WBS.

• Job Scheduling/ISE (red trending yellow) – For ISE delivered jobs, David Spencer has resolved an issue related to Jerry’s permissions/access and testing for FA jobs is ready to resume. For AR delivered jobs, Davis has also resolved an access issue and confirmed that a subset of AR jobs was successfully loaded into ISE (testing can resume). Finally, there is a Security Distribution Account Creation Process meeting on 5/9 to enable Mines to set up our own security within ISE. For custom jobs, the Student group reviewed their list of “back to baseline” jobs and tested/completed a subset (there are still some remaining that require additional conversations with Ellucian – scheduling pending). Susan is checking with Yolinda on the status of back to baseline jobs for AR. Ellucian is completing requirements gathering for jobs with no baseline solution and is seeking an update from Kerrie Molnar’s team.
  • ISE/Ellucian/Mines Meeting:  Has been scheduled for Thursday 5/9 from 10-11 AM. This is regarding placing private keys on the ISE server.
  • In Progress - Mines/Ellucian are working on adding all custom job tasks to the WBS.
