MediaSpace: How to Update Gallery Publishing Status

Overview

This guide explains how to check and update the visibility settings of your Galleries within MediaSpace to ensure they are shared appropriately.

Step-by-Step Instructions

Access the Gallery Management Tools

  1. Log in to MediaSpace:

    • Open your web browser and log into my.mines.edu with your Mines credentials.

    • Navigate to the MediaSpace tile within my.mines.edu or use the URL: mediaspace.mines.edu.

  2. Navigate to the Gallery Management Page:

  • In MediaSpace, locate and open the gallery for which you are a manager.
  • Click the menu icon in the top-right corner of the gallery page and select Edit.

Edit the Publishing Status of a Gallery

  1. Scroll down and review the current setting under “Privacy.”
  • Open - Anyone can view content (including anonymous users) but only admin role users and category members can contribute content.
    • Best for public facing galleries.
  • Restricted - All logged in users can view content but only Category members can contribute content.
    • Best for Mines-Only galleries.
  • Private - Only Category members can view and contribute content.
    • Best for limited-audience galleries.

  1. To update the visibility:
    • Select the appropriate option (Open, Restricted, or Private).
    • Click the “Save” button to apply the changes.

Edit the Publishing Status of Videos in the Gallery

  1. Within your gallery, select the Video to Update:

    • Find the video you want to update and click the pencil icon next to its title to open the editing options.

  2. Review the current setting under “Publish” tab.
  • Private - Media page will be visible to the content owner only.
  • Unlisted - Media page will be visible to anyone with a link to the page.
  • Published - Media page will be visible to users according to entitlements based on the selected destinations in the options below. Publish settings options.
  1. For published content, assign a category (Gallery) or channel you wish the video to appear within.

Publish video to either a Category or a Channel. 

  1. To update the visibility:
    • Select the appropriate option (Private, Unlisted, or Public).
    • Click the “Save” button to apply the changes.

Verify the Changes

  • Return to the Media tab in the gallery page and confirm the updated publish status for the video under its title.

Additional Tips

  • If you are unsure which setting to use:
    • Use Private for content that is archived or not ready for sharing.
    • Use Unlisted to share videos only with specific individuals using a direct link.
    • Use Public only for content intended for a broad audience.
  • Regularly review your gallery to ensure content visibility aligns with your sharing goals.
