Property Donation

Equipment donations greater than $5k       

  • For authorization from leadership to accept the equipment:        
  • General description          
  • What the equipment will be used for    
  • How long we expect to make use of the equipment    
  • Anticipated location of the equipment on campus and any costs that will need to be incurred to install the equipment i.e. building modifications – with approval from FM group
  • Any costs that will need to be incurred to maintain the equipment  
  • Any significant disposal costs   
  • Any additional information
  • For Tax form 8283:     
    • An independent appraisal of the value of the equipment
    • Acknowledgement letter with:          
      • date the equipment will be received
      • description of the equipment
      • equipment appraisal value
    • Parts I and IV completed and Parts II and III if applicable

After equipment donation is approved:       

  • Associate Controller of Tax (Justin Church) can facilitate Tax form   
  • Contracts (Jenna Sowers) can facilitate agreement unless the foundation is facilitating the donation
  • Capital team (Alison Angermeier/Jessie Whitcher) can add to asset ledgers, tag, etc          

Equipment Donations greater than $500 but less than $5,000   

  • Tax form 8283:             
    • An independent appraisal of the value of the equipment
    • Acknowledgement letter with:          
      • date the equipment will be received
      • description of the equipment
      • equipment appraisal value
    • Parts I and IV completed and Parts II and III if applicable
  • Associate controller, Tax (Justin) will sign Form 8283         
  • The department will need to fill out an acknowledgement letter.  You can use the form below as a template.         

 

Donations less than $500 will not receive a Form 8283, but the department can fill out an acknowledgement letter.  You can use the form below as a template:

This manual sets forth the policies, responsibilities, and procedures for establishing and maintaining control over property owned by, or in the custody of, the Colorado School of Mines (CSM). The term “property” which is used in this manual is synonymous with the term “capital equipment”, which is defined as personal property having a unit acquisition cost of $5,000.00 or more and an anticipated service life of one (1) year or more. This definition also applies to CSM fabricated equipment.
