Banner Student SaaS Project team: 

It is great to be back, and I am so appreciative of the team for all your continued work over the past two weeks! There has been steady progress in each area, including notable headway on integrations testing. This week, the Steering Committee gathered on Thursday 5/9 to review a high-level timeline of key milestones within the Work Breakdown Structure (WBS), as well as key areas of focus including integrations, custom jobs, BP validation for Student Accounts and COF. Current milestones are based on a proposed go-live date of Monday, September 23rd and the Steering Committee is scheduled to meet again on Thursday 5/23 to confirm alignment. Next Friday 5/17 marks a milestone for integrations testing with the completion of our first sprint. Additionally, the Mines team has received the recommendation from Ellucian to proceed with implementing the COF SaaS solution on-prem for the fall 2024 semester (planning meeting expected next week). As the team pushes forward on these efforts, the project will remain in YELLOW status this week.
 
Please see below for a high-level update in each area of the Banner SaaS project:

  • Integrations (yellow) – Since Friday 4/26, the Mines team has been testing a subset of 22 integrations which are part of the first of three sprints. The current testing sprint (Sprint 1) is scheduled to be completed by next Friday 5/17, with the final sprint spanning through the end of June. This week, Ellucian and Mines have partnered on a weekly call to resolve identified issues for efficiently. Overall, there are currently 11 open bugs, 18 are ready for retest, 8 are pending follow-up and 5 have been closed.
  • Job Scheduling/ISE (yellow) –
    • Delivered Jobs: David Spencer has resolved all issues related to permissions/access and testing for all delivered jobs can resume. Two meetings took place yesterday 5/9 between the ISE, Ellucian and Mines teams:
      • ISE Server meeting: The purpose of this meeting was to place private keys and create vendor file folders within ISE. Loni was able to provide Wes with the private keys as of EOD yesterday.
      • Security Distribution Account Creation Process meeting: The purpose of this meeting was to enable Mines to set up our own security within ISE. As a follow-up, the Mines team needs to regroup internally to determine a path forward and whether or not an “admin” user is needed.
    • Custom jobs: Susan/Vanessa are coordinating further conversations with the Student group and functional consultant to rereview the Student list of “back to baseline” jobs. Yolinda continues to work with the Student Accounts team on back to baseline jobs for AR. Ellucian is working on solutions for 6 jobs with no baseline solution (solutions are in development and expected to be completed by the end of the month.
 
  • BP Validation for Student Accounts module (yellow) – The AR team is currently 54% complete with business process validation (this number is based on the need for a retest of all test cases following the completion of the third data migration). There are currently 5 open bugs/defects, 2 of which fixes were released on 4/26 and are currently being retested. An additional 2 are scheduled to be released on 5/16 and 6/20, as well as 1 that is being worked on with functional consultant, Yolinda German. Based on the current WBS, the AR team will only have ~1.5 weeks to test the final go-live critical bug fix (assuming no additional defects are identified). This also overlaps with Fiscal year-end in Workday which will require the finance team’s attention.
 
  • COF Solution (green) – Development of the COF solution is still in progress and the overall recommendation from Ellucian is that we implement the SaaS COF solution, on-prem not to allow Mines to begin fresh for fall 2024. Susan/Vanessa are coordinating a meeting with needed Ellucian/Mines team members to comb through details, but the expected timeline of this rollout includes the solution being deployed to on-prem test environment by the end of the month, testing the first 2 weeks of June, testing resolution by mid-June, and implement on-prem prod in early July (~45 days prior to fall 2024). Up next, Mines to select an on-prem test environment, ensure Data Access is working in our on-prem test/prod environments, and Ellucian to provide test scenarios.
  • ILP (green)– This week, Victoria is finalizing testing of Grade Passback and real-time sync. Susan is working with Liliana and David for details surrounding production configuration, following the completion of Mines testing. 
  • Form Fusion/Evisions (green) – The Student team is experiencing an issue with transcript generation and is unable to retest form fusion at the moment (enrollment verification is also not working but the team plans to retest following resolution of transcript generation). Susan met with Loni and Jenny last week to discuss custom jobs, TZRTBIL and TZRTSUM. Based on their conversation, it has been determined that these jobs are related to issuing credit (rather than tied to COF) and Susan is going to circle back with functional consultant (Yolinda German) on this.
  • Student & Financial Aid BP Validation (green) - Initial business process testing is complete for Financial Aid and nearly complete for the Student module, with the only remaining testing being 8 bugs (1 go-live critical).  
  • Insights (green) – The Insights engagement is complete with the only remaining open item being a closing document from Ellucian consultant, Nikkolette Beckley. The Mines team continues to assess any possible needs for additional training. Also, on 5/1, the Insights Production Connector was completed. 
  • Experience (green) – No updates. Final validation and sign-off with Experience card owners has been completed and role finalization for the Experience platform is in progress. 
  • Degree Works (green) – No updates. Validation of all business processes/functionality has been completed as of 3/6 and the environment is working as expected. The remaining post go-live work includes a review of new upgrade features and scribing, and the Registrar team has confirmed that they would like this training prior to Go-Live (Susan to request resources).
  • Reporting (yellow) – Report development is going well and now that the prod (not live) connector is in place, this data has been flowing over to the EAB team (nightly). There are ongoing conversations internally within Mines to discuss the data source swap. The IRS team met with the Registrar team last week to conduct a training of Tableau and compare reports in Cognos.
  • EUP (yellow) – Susan has shared the correct API and other needed technical information with Roman on the Mines team to test the Okta integration. Additionally, an API user needs to be created in the Banner SaaS Test environment in order to complete testing from Okta (the Mines team met this afternoon to begin working on this).

This decision solved several vital considerations, including:

1. Banner Student has all the functionality needed and is ready for today’s requirements in a student
information system.
2. Banner Student will allow Mines to provide the services needed for students and staff at an R1
institution.
3. There will be minimal disruptions to our students and staff during and after this transition.
4. By no later than June 30, 2024, we will be able to turn off our on-premise Banner system.

Description

The purpose of this project is to transition Mines from our current on-premise Banner Student solution to Ellucian's cloud-based version of Banner Student. Banner Student's cloud solution looks nearly the same as our on-premise solution, significantly reducing the transition costs in both labor and training.
