Update Personal Information

UPDATE PERSONAL INFORMATION

This user guide will assist you in making updates to your personal information in Workday. This includes changes to your Legal Name and Contact Information.

  1. Navigate to the Personal Information application.  
  2. Click on My Personal Information in the box titled Change.
  3. Use the remaining steps to edit applicable personal information (e.g., gender, date of birth, marital status, race/ethnicity, citizenship status, etc.).
  4. Click on the Pencil icon in each section to edit.
  5. Click on the Prompt and Calendar icons to select the relevant information.
  6. Select the check mark, to save your information.
    Next: Depending on the personal information changes made, the processes will route to the relevant group(s), if applicable.

HOME CONTACT INFORMATION

  1. Click on your photo to navigate to the worker profile.
  2. Click on the Actions icon under your name.  
  3. Hover over Personal Data and select Change My Home Contact Information.

Address

  1. Click on the Pencil icon, in the Address section to edit.
  2. Click on the Calendar icon , select an Effective Date. This is the date that your address change will take effect in Workday.
  3. Ensure that the Primary check box is selected if this is your primary address.
  4. The Country field will automatically populate.
  5. Enter your Address Line 1, Address Line 2 and City information.
  6. The State or Territory field will automatically populate.  Click on the Prompt icon to amend if needed.
  7. Select the check mark, to save your information.
  8. Click on the add button, add additional addresses, if applicable.

Phone

  1.     Click on the Pencil icon in the Phone section to make edits.   
    •     Phone Type: Using the drop-down menu, select a phone type.
    •     Phone Number: Enter your phone number.
    •     Visibility: Select whether this phone information should remain private from the rest of the organization.

Email

  1. Click on the Pencil icon, in the Email section to make edits.  Or Click on the add button, to add your Email information.
    • Enter your Email Address.
    • Visibility: Use the drop-down menu to select whether this email information should remain private from the rest of the organization.
  2. Select the check mark, to save your information.
  3. Click Submit once you have populated the relevant Home Contact Information

CHANGE EMERGENCY CONTACTS

This user guide will assist you in updating your Emergency Contacts in Workday.

  1. Navigate to your employee Profile and click on the Actions icon below your name.
  2. Hover over Personal Data and select Change Emergency Contacts.
  3. Click on the Pencil icon, in the Legal Name section to make edits.
    • Click on the Prompt icon, select the Country where your emergency contact is based.
    • Enter their First Name, Middle Name (if applicable) and Last Name in the relevant fields.
  4. Click the check mark, to save your information.
  5. Click on the Pencil icon, in the Relationship section.
  6. Click on the Prompt icon, select your relationship with your emergency contact.
  7. Select the check mark, to save your information.
  8. Click on the Pencil icon, in the Preferred Language section.
  9. Using the Prompt icon, select the preferred language of your emergency contact.
  10. Select the check mark, to save your information.
  11. Click on the add button, in the Primary: Phone, Address and Email section to add their contact information.  
    • Phone: Enter Phone Device, County Phone Code, Phone Number and Type.
    • Address: Enter Address, City, State, Postal Code and Type.
    • Email: Enter Email Address and Type.
  12. Select the check mark, to save your information.
  13. Click Submit.

BIRTH DATE

  1. Hover over Personal Data and select Correct My Birth Date.
  2. Click on the Calendar icon , select your Corrected Date of Birth.  
  3. Enter additional information in the Comments field, if applicable.
  4. Click Submit.
    Next: This task will now route for approval to the relevant group(s).

LEGAL NAME

  1. Hover over Personal Data and select Change My Legal Name.
  2. Click on the Calendar icon , select an Effective Date. This is the date that your legal name change will take effect in Workday.
  3. The Country field will automatically populate.
  4. Enter your First Name.
  5. Enter your Middle Name. (If Applicable)
  6. Enter your Last Name.
  7. Using the drag and drop functionality, add any relevant supporting documents in the Attachments box or click Select Files to choose a file from your computer.   
  8. Click Submit.
    Next: This task will now route for approval to the relevant group(s).

PREFERRED NAME

Your Preferred Name is your name that will be displayed in Workday.  

  1.     Hover over Personal Data and select Change My Preferred Name.
  2.     Uncheck the Use Legal Name As Preferred Name check box.
  3.     Click on the Prompt icon , amend the Country field, if required.
  4.     Click on the Prompt icon , select your appropriate Salutation, if applicable.
  5.     Enter your First Name.
  6.     Enter your Middle Name.
  7.     Enter your Last Name.
  8.     Using the drag and drop functionality, add any relevant supporting documents in the Attachments box or click Select Files to choose a file from your computer.   
  9.     Click Submit.
    Next: This task will now route for approval to the relevant group(s).

PASSPORTS AND VISAS

  1. Click on the Search bar, enter Change my Passports and Visas, and select the task.
  2. Click the Add Row + icon. icon to create a new Passports line.
  3. Enter information into the following fields:
    • Country: Enter the country of the passport.
    • Passport ID Type: Select Official or Regular.
    • Identification #: Enter the passport number.
    • Issued Date: Enter the date the passport was issued.
    • Expiration Date: Enter the expiration date of the passport.
  4. Click the Add Row + icon. icon to create a new Visas line.  Enter information in the following fields:
    • Country: Enter the country of the visa.
    • Visa ID Type: Select the type of visa.
    • Identification #: Enter the visa number.
    • Issued Date: Enter the date the visa was issued.
    • Expiration Date: Enter the expiration date of the visa.
  5. Using the drag and drop functionality, add documentation that verifies your Passport/Visa change in the Attachments box or click Select Files to choose a file from your computer.  
  6. Click on the Prompt icon, in the Category field, select ‘Passports and Visas’.
  7. Click Submit.
    Next: This task will now route for approval to the relevant group(s). 

VETERAN STATUS

  1.  Click on the Search bar, enter Change My Veteran Status, and select the task.
  2.  Click OK.
  3.  Using the prompt icon, select a Veteran Status.
  4.  Click Submit.

DISABILITY SELF  IDENTIFICATION

  1. Click on the Search bar, enter Change Self-Identification of a Disability, and select the task.
  2. Click OK.
  3. Scroll down and click on the appropriate choice.
  4. Click Submit.
