Workday Tips and Tricks

Workday Search - use the Global Navigation bar and search for your items. If the search results are not helpful, click More Categories to see all results. To see More Categories, ensure Simple Search is toggled off, which can be done just under the search bar.

Workday Search: Update Categories - if you find yourself clicking More Categories often, try updating the categories in your default search. In the search area, click on Configure Search, and the pop-up shown below will appear; simply drag and drop between the Saved and More categories.

 

Cancel or Reassign Tasks - if you submitted something that is a task in your Inbox that you need to cancel or reassign, click on the Gear Icon above the title.

Reporting Pro Tips -

1. When selecting your Driver Worktag, also select the default Fund. By doing this, your reports will no longer display affiliated items that live outside your fund.

2. Take advantage of the Save Filter option at the bottom of a Report Prompt.

Managing Saved Report Filters - saving filters on reports across WD is a great hack, but what if you have a great filter that just needs a little tweak? You could create a new filter and try to remember to only use the most recent moving forward OR you can view, edit, and remove saved filters using the Manage My Saved Filters report. Select the specific reports, and then you will get a list of all your associated filters.

Adjusting Report Display - when viewing reports within WD, you can change the width of columns, see more information without scrolling, get rid of wrap text, and much more. To get rid of the text wrapping and see more rows at once, you can toggle between grid views in the upper right corner, just above the report headers. To change the column width, hover over the border in the header, and an arrow should appear, allowing you to drag the border to the desired width.

Adding Report Shortcuts- save a shortcut for your most used reports, or those reports that you only use a few times a year and always forget the name of. From the MENU on the upper left of your WD home page, navigate to the Shortcuts tab, and then at the bottom of the list, you can add or edit your list.

Searching for Multiple Worktags

When you have a list of things like worktags you have searched for using a keyword like 'Operating', if you click the top one and then click the bottom one while holding shift, everything between will auto-select (this is helpful for reports like AFBR or RPT001). Another option is click CTRL + A and then the space bar to select all in the list.

Searching for Worktags associated with an employee

Track down WTs attached to someone by going to their Profile> Actions > Organization > View roles for worker position.

Check Employee's Fringe Class 

Go to the employee's profile - Job - Organizations, and you can find the rates here https://ora.mines.edu/dig-in/fringe-benefit-rates-indirect-cost-rates/.

Expense Item to Spend Category - when completing expense reports, you are selecting expense items and not a specific spend category; this can make it more difficult to find a specific activity when drilling into the accounting. If you want to see what the related spend category for an expense item is, you can hover the related action button “…”. We have also added a column for “Expense Item” on the Find Journal Lines - Reference ID - Campus Copy report.

New AI Workday Assistant - when you click on the message icon, you will see options including Show Available Capabilities and View pay information. You can also input your own questions or prompts here.
