Workday Module Descriptions

This table describes the functional areas for administrative access to modules within Workday.

Academic Advising Set up and manage your academic requirements. Assess and plan for the completion of requirements associated with a student's educational objectives. Maintain advising relationships with student cohorts and direct assignments.
Academic Faculty Set up, manage, and report on academic staffing. Features include academic units, appointments, 9/12 pay, period activity pay, named professorships.
Academic Foundation Set up and maintain the academic structure and time framework, including academic units, programs of study, academic calendars, and date controls. Manage academic unit policies, student eligibility rules, and unit types. Access and manage historical student data, including matching and activation.
Adaptive Planning for the Workforce Set up and publish headcount plans. Publish workforce changes to HCM from Adaptive Planning. Review, submit, and report on those workforce changes in HCM.
Budgets Set up financial, position, award and proposal budgets. Maintain, amend and report on budgets. Set up and manage budget checking for financial, position and award budgets. Manage budgetary year end with budgetary close and roll forward.
Common Financial Management Set up companies, fiscal schedules, ledgers, books, accounts, accounting categories, and accounting rules.  Set up worktags and custom validations. Set up, report, and process credit cards.  Maintain statistics.  Establish and maintain currency and tax rates. Define messages for printed business documents. Manage period and year-end processing. Run financial compliance reports related to suppliers and supplier payments.
Headcount Plans Create, manage and report on headcount plans.
Headcount Plans (HCM) Set up HCM headcount plans, including selection of dimensions and fiscal schedule. Create and maintain headcount plans. View and report on headcount plans.
Financial Accounting Create and post journals, including recurring journals. Define and process allocations, revaluations, consolidation and translation. View activity, audit, and reconciliation reports. Create financial statements and metrics. Provide financial reports and metrics to managers.
Banking and Settlement Set up financial institutions and bank accounts.  Settle payments electronically and by credit card.  Print checks, pay slips and pay advices. Set up and process outsourced banking and print services. Set up and manage prenoting and escheatment.  Manage bank account transfers, ad hoc transactions, positive pay files, and payment returns.  Review bank statements and manage reconciliations. View account, check, and direct deposit registers.
Business Asset Accounting Capture asset acquisition cost, asset cost adjustments, asset useful life adjustments, impairments, spend category reclassifications, fair market value and estimated residual value. Manage depreciation profiles, record depreciation/amortization expense for capitalized assets, and suspend/resume depreciation at any time during the life of the asset. Configure multiple company asset books to support multiple depreciation schedules per asset. Report on period end asset net book value, asset financial activity for a given period, and reconcile assets to ledger. Provide visibility to asset cost activities and lifecycle events.
Business Asset Tracking Configure receipts (contract or purchase order) and supplier invoice processing to create assets automatically, or create them manually. Create pooled or composite assets, leased, and intangible assets. Manage business assets, register, place in service, adjust in service date, issue, transfer, transfer to a different company, dispose of (full or partial), reinstate, or remove. Source requisitions with business assets from storage. Identify trackable spend categories and indicate if intangible. Provide visibility to business asset lifecycle events and custodial history.
Capital Projects Manage capital projects by capturing costs against projects and reclassifying those costs as assets or expenses.
Customer Contracts Create customer contracts for fixed amounts, installment, and open-ended arrangements. Bill independently of revenue recognition and support revenue carve outs. Use amendments to track contract changes. Establish billing and revenue recognition schedules with customizable installments. Create milestones and use them to control processing of billing and revenue recognition. Manage customer prepayments. Analyze and report on forecasted deferred revenue and revenue recognition exposure. Run reports to identify milestones and schedules requiring action.
Customers Set up, maintain and report on customers. Add notes to customers. Define customer relationships (parent-child) and a different remit-from customer, customer credit limits, DUNS number, default worktags and document options for invoices and statements. Limit visibility and access to customers using segment security. Assign roles to customers to facilitate reporting, and help better manage your collections process. Bring customers into Workday as a prospect via our Salesforce.com integration.
Expenses Set up self-service payment elections, travel profiles, spend authorizations with optional cash advance requests, and expense reporting for both employees and contingent workers. Administer expense items, attributes, rate tables, rules and expense item access, travel profiles, prenote processing, and expense report tasks for worker, prehire, and external committee members. Enable employees to create expense reports on a supported mobile device. Configure rules for capturing recoverable tax. Set up, report, and process travel booking records. Record cash advance repayments. Close individual or mass close multiple spend authorizations. View and analyze worker spend across your organization and analyze expense reporting compliance.
Miscellaneous Payments Create and manage miscellaneous payment requests. Maintain miscellaneous payees, miscellaneous payee categories, and payment request categories. Settle miscellaneous payment requests using settlement runs or express settlement runs.
Projects Create and manage initiatives and projects. Use templates to create projects and project plans. View analytics for projects and initiatives. Assign and track work. Rate the work that employees and contingent workers perform on projects. Analyze how workers are spending their time. Collect and prioritize worker submitted ideas to turn into projects. Manage capital projects by capturing costs against projects and reclassifying those costs as assets or expenses. Define resource needs on project resource plans using worker based attributes. Associate resource plan lines to job requisitions to connect staffing to projects. Create resource forecasts to capture the estimated hours workers will spend on projects. Create project ~budgets~ to plan and manage project costs and revenue.
Supplier Accounts Set up and manage supplier invoices, adjustments, and self-service invoice requests. Create invoices from contracts, purchase orders and receipts. Customer Accounts Manage customer activity, including invoices and adjustments, statements, payment entry, payment application, payment returns, customer invoice maintenance (netting), refunds, write-offs and invoice adjustments. Print invoices using a variety of delivered invoice layouts. Capture notes on invoices. Put invoices into collection or dispute. Schedule and recognize revenue directly off invoices. Support electronic payments, including direct debit and credit card. Create rules for automatic payment application and writeoffs. Report on customer activity, balances, open items, aging and DSO trending, deposits, payments and accounts requiring action. Use our Salesforce.com integrations to bring opportunities and customers into Workday, and to send opportunity spend, customer activity and balances back to Salesforce.
Unions Set up unions. Manage and view unions membership and seniority dates.
USA Payroll Create and manage Payroll for the U.S., Puerto Rico, Guam, and Virgin Islands. Identify company tax data. Manage worker tax data and income withholding orders. Configure W-2, W-2PR, W-2GU, and W-2VI boxes, and create employee forms.
Workday Scheduling Set up organizations and settings for Workday Scheduling, generate schedules, and enable workers to take action on them.
Onboarding Set up and manage a process to guide workers through a series of onboarding tasks, such as updating contact and personal information and submitting an electronic I-9. Communicate relevant corporate and job-related information. Collect electronic signatures and acknowledgements of documents.
Personal Data Track personal information and IDs, such as national IDs, gender, date of birth, marital status, and citizenship status. Track dependent information such as contact information, personal information, and IDs. Track public profile preference elections.
Time Tracking Define the core business process for entering and tracking time, and updating work schedules. Set up time entry templates, time entry codes, and eligibility rules to tailor time entry to specific organizations and workers. Track time against details such as projects, tasks, worktags, and organizations. Set up time period schedules and map to Payroll period schedules to pull time blocks into Workday Payroll or Cloud Connect for 3rd Party Payroll. Update and modify work schedules for employees.
Time Tracking Calculations Create configurable time calculations to run in the background as users enter time. Define calculation groups and eligibility rules to automate overtime, shift differential, minimum hours and other premiums based on location or other worker attributes.
Project Tracking Create and manage projects. Assign and track work. Analyze how workers are spending their time.
Procurement Configure and maintain procurement functionality to enable and track the spend on goods, services (both project-based and non-project based), and contingent workers. Manage requisitions, requests for quotes, sourcing of goods and services, and setup of sourcing rules, purchase orders and change orders and acknowledgments, advance ship notices, receipts and returns. Maintain purchase items, supplier links, and a supplier portal. Configure requisition access to spend categories, catalogs, and supplier links. Verify procurement card transactions. Create receipt accruals for approved uninvoiced receipts. Create internal service delivery documents to deliver and track internal services. Track and analyze time, activity, and spend.
Implementation Use iLoad tools and web services to implement Workday.
Integration Create and configure integrations such as Cloud Connect for Benefits, Cloud Connect for Third Party Payroll, other Cloud Connect Integrations, and EIBs.  Enable use of key tooling such as integration systems, integration templates, integration attributes and integration maps.  Launch integrations immediately or schedule them to run once or multiple times in the future.  View integration reports using the Process Monitor or using the Integration Event report.  Enable developers to deploy Studio integrations into the Workday Cloud.
System Set up, maintain, and report on Business Processes, Report Writer, Discovery Boards, Scheduling, Security, Calendar, Landing Pages, Data Translation and other system-wide objects.
Tenant Non-Configurable View transactions that are granted to users inherently in the Workday system, which cannot be changed.
Workplace Test Tracking Set up and manage workplace health and safety testing. Configure the type of workplace test, and the workplace test results. Enable reporting on the workplace testing status of your workers. Load values in bulk for workplace testing using a web service.
Worktags Set up basic organization worktags. Enable custom worktags and maintain custom worktag values. Configure primary, additional and required worktag types for taggable transaction types. Configure allowed worktag types for related worktag taggable types. Retrieve and load default and allowed values via web service for any related worktag taggable type.
Financial Aid Set up and manage ISIR processing, cost of attendance, student awards, fiscal limits, packaging, satisfactory academic process, and COD integrations and processing.
Benefits Set up benefit providers, plans and coverage types. Set up benefit coverages and rates. Set up benefit groups and eligibility rules. Manage expanded summary plan description details for enrollment decision support. Maintain enrollment event and cross plan rules for plans and coverage types. Define business processes for change benefits, qualifying life event and open enrollment events. Manage account-based benefit plan contributions. Initialize, close and finalize open enrollments. Manage dependents, and beneficiary persons and trusts. Manage passive enrollment events. Manage evidence of insurability. Manage ACA and Medicare eligibility. Manage wellness participation. Coordinate with payroll and Cloud Connect for Benefits.
Career and Development Planning Manage career and development tasks including development items, potential assessments in talent reviews, career and job interests, mentorships, connections, opportunity graph, and travel and relocation preferences.
Contact Information Set up, maintain, and report on names and contact information such as addresses, phone numbers, and email addresses.
Core Compensation Set up and manage compensation guidelines (grade, grade profiles, grade steps), compensation bases, Manage by Basis Total, and eligibility rules. Manage the compensation for a global workforce with salary, hourly, allowance, commission, one-time payment, calculated, and severance plans. Manage statements, including total rewards statements and wage theft prevention notices. Manage compensation surveys and compensation benchmark.
Core Payroll Create and manage Workday Payroll. Configure earnings, deductions, accumulations, and balances. Manage worker payment elections and payroll input. Calculate, review/audit, and complete payrolls and settlement runs.
Duplicate Management Manage duplicate person records by matching and merging them to resolve duplicate personal information such as name, address, and ID.
Extended Enterprise for Learning Create Workday accounts for external users so they can access your learning catalog. Manage external user information, including learning transcripts and talent certifications. Configure business processes for managing external users. Access external learning instructor capabilities through the Learning Core functional area.
Jobs & Positions Define job families, job profiles, job classifications, management levels, and other job related setup data.
Learning Core Set up the learning catalog and create lessons, digital courses, and programs. Schedule offerings through blended courses. Upload media content, including videos and documents. Configure topic and course-based security segments to control access to content. Configure integrations to third-party natural workspaces and calendars. Configure the self-service, manager, and administrative enrollment, drop, and cancel business processes. View content recommendations based on machine learning. Manage compliance-related learning content and audiences through assignment management. Configure expiration dates to manage retraining. Configure instructors and assessors to manage waitlists, attendance, and grading for learning and on-the-job training. Create external learning instructors.
Organizations and Roles Set up and administer organizations, organization types, and committees. Create and manage reorganization events. Set up organization roles and membership rules.
People Experience People Experience will be the Home Page for customers who opt in to the offering, Track People experience specific components such as cards, Journeys, setup tasks and pages.
Performance Enablement Set up and manage performance reviews, development plans, improvement plans, and disciplinary actions. Enable employees and managers to schedule regular one-on-one check-ins. Enable employees to request feedback and managers to request feedback on direct reports. Manage individual and organization goals, development items, and competencies.
Pre-Hire Process Manage pre-hire and recruiting information, including personal data, background checks, hire eligibility, job requisitions, and employment agreements.
Recruiting Set up job posting and application templates and link them to job requisitions. Manage evergreen and job requisitions. Configure external career site brands and colors. Post jobs to career sites with embedded video. Using machine learning, present suggested skills and jobs to candidates for consideration. Enable candidates to search and apply for jobs, set criteria for Job Alert notifications, and start and save an application to complete at a later time. Source, manage, and collaborate on candidates through the Find Candidates and My Candidates reports, candidate pools, and the Job Requisition Workspace. Leverage Candidate Skills Match to increase the efficiency of identifying prospective candidates. Manage the application process, including employee referrals, endorsements, agencies, projected payouts, and candidate data, workflow, and self-scheduling. Define candidate workflow, including review, screen, assess, interview schedule and feedback, reference check, offer and employment agreement, background check, and ready for hire. Send automated interview reminders. Track prospects, collect consent and sources, and actively engage prospects and candidates using our branded communications tool. Support the management of high volumes of candidates.
Regulatory Reporting (HCM) Perform workforce regulatory actions and reporting. For US: Form I-9, Disability Identification, Veteran Status Identification, EEO-1 reporting. Globally: Establishments and regulatory reporting for various countries.
Talent Insight Apps Setup and manage talent dashboards and reports for retention risk and skill and talent insights. View data insights for predictive analytics. Set up schedule and type of data tracking for insight apps.
Talent Pipeline Create and manage succession plans, succession pools and talent pools. Search, compare and identify talent. Collect talent information, perform talent assessments and calibrate talent.
Worker Profile and Skills Enable self-service and worker data reporting for employee profile information, including achievements, certifications, languages, talent statements, memberships, skills, professional affiliations, and job qualifications. Set up configuration values and business processes for the skills and experience standalone processes, career profile, and upload my experience. Configure and view tasks and information related to enabling skills cloud, suggested skills, and skills verification for workers.
Prism Analytics Create, edit, and update datasets and tables that contain external data or Workday data. Set up and maintain the data catalog that stores all datasets and tables. Publish datasets to create Prism data sources.
Staffing Set up, manage, and report on positions, jobs, and contracts for workers. Manage the worker employment life cycle, including hire, transfer, termination, and position details.
Time Off and Leave Set up and administer time off and leave plans for your enterprise. Manage who can request specific time off and leave types through eligibility, validations, segmented security, and absence thresholds. Set up and administer absence entitlements for both time off and leave plans, and define carryover limit and expiration rules for time off plans. View worker absence balances, including projections and carryover balances. View time off and leave taken, including absence occurrences, and define time off and leave visibility for teams, managers, and administrators, including third-party calendar integrations.
Grants Management Set up and manage awards. Create and maintain sponsors, budget awards, capture costs, calculate facilities and administration costs, recognize revenue, bill, collect, and draw from letters of credit for your awards. Report on your award activities and budgets.
