How to Post a Job for Undergraduate Students in Workday

Use this guide to post a job and hire an undergraduate student in Workday. A graduate student hiring guide will be available when the process is finalized in late 2026.

Log into Workday with your credentials.

Create a Job Requisition

  1. Type in "Create Job Requisition" in the search bar.
    1. Important: Do not use “Start Job Requisition” for undergraduate student hiring.

  1. Click the Task
  2. Select the correct supervisory undergraduate hiring organization. “X out” of any pre-populated organization. In that field, type “UG Student Hiring- Your Department and Name” hit enter. It might not be your name, it might be who you’re hiring on behalf of.
    1. Please Note: Selecting the incorrect, non-UG Student Hiring supervisory org will cause the process to fail.
  3. Never use the “inherited” option.
  4. “Worker type”: Choose Employee.

  1. Click OK
  1. "Number of Openings": Estimate on the higher side you can imagine regularly hiring.
    1. Once all positions are filled, you cannot add additional positions. You would need to start a new job requisition and posting process, therefore, we recommend estimating on the higher side.

  1. "Reason": Create Job Requisition>Recruiting- Post for Competitive Fill.
  2. Leave “Replacement For” blank.
  3. "Recruiting Instruction": Choose On-Campus Posting (Student Jobs Only).

  1. "Recruiting Start Date": Choose today.
  2. "Target Hire Date": Pick a target hiring date that most accurately reflects the employee’s start date. It can't be changed once you choose it. You can't hire a student before this date.
  3. "Target End Date": End date for all contracts associated with this posting.
  4. Click Next.

Job Details

  1. "Job Posting Title": Job Profile Name, Department, work group, or supervisor last name, then a comma, then Job Title, then a comma, Financial Aid Only (if applicable).
    1. Justification field is not required.

  1. "Job Profile": Only use Job Profile starting with 2026. Type in “2026”, hit Return, and choose the appropriate profile. You can't mix hourly and stipend pay types.
  2.  “Additional Job Profiles”: If financial aid is not required for your position, add both “2026 Undergraduate-Hourly” and “2026 Undergraduate Work Study Hourly”.
  3. “Job Description Summary”: Copy and paste the Job Posting Title in this field. Include a brief description of the role.

  1. “Job Description”: A suggested template will auto-populate. Complete the templated information as prompted.


 

  1. Leave “Additional Job Description” blank.
  2. "Worker Sub-type": Choose Student (Fixed Term).

  1. "Time type": Choose Part time.
  2. "Location": You must choose Colorado.
    1. Chosing anything other than Colorado will cause the process to fail.
  3. “Additional Locations” and “Additional Job Posting Locations”: Leave blank.

  1. “Scheduled Weekly Hours": Must be 5 or less. We recommend leaving as-is.
  2. “Work Shift”: Do not touch.
  3. “Compensation Details”: Do not touch
  4. Do not touch the Questionnaires section.
  5. Click “Next”.

Organization

  1. "Cost Center": Enter your cost center number.

    Cost Center is the funding source, different from your worktag. To find the Cost Center, type your worktag into the search bar, click the worktag when it pops up, and in the next window, your Cost Center number will display. If you’re unsure, check with your Budget partner or MAPS.
     
  2. "Fund": Enter your fund. It should match the funding sources worktag.


 

  1. “Other”: Do not touch
  2. “Department”: Do not touch.
  3. Skip the attachments section, click Next.

Assign Roles

  1. "Role": Only the hiring manager and Search Committee Chair will be able to start job offers, so choose Search Committee Chair.
    1. Search Committee Chair will be the person or person who will start job offers and complete the process. You can add more than one person by selecting another name in the original box. Do not use the ‘add’ option below to add additional people to the role you’ve selected.
  2. “Assigned To”: Assign yourself or the hiring manager as committee chair, or the person you want starting offers.

  1. “Role”: You can assign anyone who wants to review applicants as “Search Committee Member”. Use the ‘add’ button to add an additional type of role. You can type their name into the field to find them.
  2. You can add more than one person by selecting another name in the original box. Do not use the ‘add’ option below. Do not use the ‘add’ option below to add additional people to the role you’ve selected.

  1. Click Next.
  2. Review details.
  3. Click Submit.

Compensation

  1. You'll get a task in your Workday Task Inbox to fill in compensation for the position. Add the pay rate if it's an hourly job (make sure it's at or above min wage). If it's stipend, you won't handle this right now, you’ll handle when starting the offer.
    1. Do not touch “Currency”.
    2. Do not touch “Frequency”.
    3. Click Submit.

Background Check Questionnaire

  1. You’ll receive a task in your Workday Task Inbox to complete a questionnaire that will tell the recruiting team if a background check is required.
    1. Complete these fields and then click Submit.

Post Job

  1. You'll receive a task in your Workday Task Inbox that tells you to post the job. Click on that.

  1. “Job Posting Site”: Internal (non-worker) select On-Campus Student Jobs.
  2. Click “Preview Job Posting”.
  3. Click Ok.
  4. Since you clicked “Preview”, look at it and make sure it looks right. You can make a change through Edit Job Requisition, but otherwise, click Ok.
  5. If you edit your Job Description, you will be required to enter a Reason. Select “Edit Job Requisition>Administrative>Update Hiring Requirements”. Then click Next.
  6. On the Post Job screen, the posting start date and end date are required. This is not the start date and end date of your job, it’s the start date and end date of the posting.
    1. You can always extend the date of the job posting later, but you must choose a date of the posting end now. Ignore the Primary Posting box.

  1. Click Submit.
  2. We recommend that you check on your job posting. To do that, you must locate your Job Requisition number.
    1. Click the hamburger menu in the top left, then click Recruiting to find your JR number. You can also go to your home screen, click “Find Student Jobs” and find your job there.
    2. When you click on it, you'll see that the posting is indeed live. You will not see an apply button, because you’re not an undergraduate student. Don’t worry, your undergraduate students will be able to see it and be able to apply.

How to Edit the Job Requisition Details After It’s Posted

Say you want to add additional positions, or you notice an error in the posting, changing dates, you can make changes up until the last position in your original posting is filled.

  1. Click the three dots at the top of the posting, called Related Actions.
  2. Click Job Change>Edit Job Requisition

  1. You will be required to enter a Reason. Select “Edit Job Requisition>Administrative>Update Hiring Requirements”. Then click Next.
  2. Click Submit.

These changes won’t be made to the job posting. You need to unpost and repost for your edits to be reflected on the Job Posting.

  1. From the job posting screen, select your job posting, and click “Unpost Jobs.”
  2. Leave a comment on why you are unposting it.
  3. Click Submit.
  4. Click Post Job.
  5. Follow all the steps under the previous section, Post Job.
  6. Click Submit.
