Use this guide for when you're actively in the hiring process reviewing undergraduate student candidates for a position in your department.
Send them a message with the status update of their application
1. From your candidate grid, select your candidate by clicking the box by their name. Select multiple candidates if needed.

2. Click Send Message.
3. A box will appear. Remove the Mobile Push Notification by clicking the X. You don't want to text the candidate that they were declined. Email is our preferred business process.

4. You can either create your own email message or select a pre-made template. Templates can be customized. Click a notification template if applicable (Recruiting Template). Select the message template you wish to use. You can review the template below once selected and make changes as needed.

5. Add a subject line to your email, referencing the position name, type, and department. Ex: "Undergraduate Hourly, Labriola InnoHub, Technical Assistant"

6. Edit the body of the email under "Body". The greyed boxes will be auto-populated if you selected a template.

7. Change the display name to your name or the department name, and add a Reply To Email Address, such as your personal email address or a shared department inbox.

8. Click OK. You'll receive a note saying that your message to the candidate was successful.

Decline Your Candidate in Workday
9. Select your Candidate(s) from the Candidate Grid (checking the box next to their name) and click Decline.

10. A box will appear. Under Disposition Reason, click More Qualified Candidate Selected. Always use this reason.

11. Click OK.
Review Inactive Candidates
Click Inactive Candidates from the Candidate Grid.

Reactivate a Candidate
Select the box by their name and click Reactivate Job Application.

If a Candidate Needs to Reapply for Any Reason
If your candidate needs to reapply, you MUST decline them before they can reapply. Start from Step 9 on this page.
