Requesting & Preparing for Your Virtual I-9 Verification

This job aid provides step-by-step instructions on how to book a virtual I-9 appointment and upload your required documents in Workday. 

In accordance with federal law:

  • Section 1 of the I-9 form must be completed by the employee no later than their first day of paid employment

  • Original, unexpired documents proving identity and employment authorization must be presented and verified within three business days of the start date

Adherence to this timeline is mandatory, and failure to comply will result in the immediate termination of your employment. 

Step 1: Book Your Virtual Appointment

Step 2: Review and Prepare Your Documents 

Prior to your appointment, upload your required documents. If this step is not completed before your virtual appointment, we will not be able to complete the verification and you will need to either reschedule the virtual appointment or come in person to the MAPS Office, Guggenheim Hall Room 224. 

Review the List of Form I-9 Acceptable Documents. You must choose: 

  • One document from List A (Establishes both identity and employment authorization) OR

  • One document from List B (Identity) AND one document from List C (Employment Authorization). 

Document Upload Requirements:

To ensure a smooth verification, please take clear color photos or scans and note the following requirements: 

  • Separate Uploads: We recommend uploading each document as a separate file. 

  • Passports: For US and Foreign Passports, upload both the photo page and the barcode page. 

  • Cards: For US Passport Cards, Permanent Resident Cards, Employment Authorization Documents, and List B documents containing a photograph, you must upload both the front and back of the card. 

  • Foreign Passports: Must include uploads of your supporting documents, such as your I-94 and work authorization documents (e.g., I-20, DS-2019, or I-797).

Step 3: Upload Documents to Workday 

1. Access Workday 

a. Visit my.mines.edu and log in using your account credentials.

b.Select the Workday (Production) tile.  

2. Navigate to Your Profile 

a. Click the Person Icon in the upper right corner of the Workday Welcome Page. 

b. Click the View Profile button. 

3. Open the Documents Section 

a. In your employee profile menu on the left side, click Personal. 

b. Select the Documents tab at the top. 

c. Click the Add button. 

4. Upload and Label Your Files 

a. Drag and drop your document file into the upload box, or click Select files to browse your computer. 

b. Set the Document Category to "I-9 Document". 

c. In the Comments field, type the exact name of the document (e.g., "US Passport" or "Driver's License"). 

5. Add Additional Documents (If Applicable) 

If you need to upload more files (like the back of a card or an I-94), click the Upload button to open a new document section and repeat the process.
