Adjunct Hiring Guide
Summary of the Adjunct Hiring Process at Mines:
Each semester, the Talent Acquisition Team posts an Adjunct Evergreen position to collect applications for adjunct teaching opportunities. Departments create a job requisition for their hiring needs and direct candidates to apply through the appropriate evergreen posting link, either external (work.mines.edu) or internal (JobsHub). All adjuncts, including returning adjuncts, must submit a new application each semester. Once a candidate applies, the department notifies the Talent Acquisition Partner (TAP). After the department's job requisition receives approval, the TAP transfers the candidate's application from the Evergreen posting to the approved requisition and initiates the offer process. If you are hiring a current academic faculty to teach an extra course they do not follow this process. See note below.

In order to provide sufficient access and course preparation time for our spring Adjuncts, we are strongly recommending a common and unified start date of January 4, 2027.

Adjunct Instruction (not coaching) Hiring:
- All (including known “direct hire” adjuncts) adjuncts must apply to be an adjunct instructor each semester.
- There will be one evergreen (a requisition used to pipeline candidates on a continual basis which is done by keeping this evergreen requisition posted for internal, external and passive candidates) posting (link provided below) for known adjuncts to apply to in order for them to be hired each semester.
- Department staff starts a job requisition to hire their known adjunct(s) per semester
- Departments who need to source for a particular adjunct opening may do so separate from this evergreen hiring process as they will be going through the regular requisition/hiring process
- Departments send application link and instructions to internal and external candidates.
- Candidates apply and departments inform TAP application has been submitted
- TAP moves application from evergreen application to approved department job requisition and starts offer
- TAP sends offer letter
- Background check completed if needed and candidate is moved to MAPS and IT for onboarding steps
Internal Candidates:
All Adjuncts currently working at Mines, or who have a Connected adjunct role are internal applicants. Internal applicants apply by logging into Workday at my.mines.edu and going to the JobsHub to locate the adjunct evergreen posting.
External Candidates:
- Anyone new to Mines
- Prior Adjuncts who are not currently working at Mines and are not Connected
- Contingent Workers
These individuals will search the postings and apply through the Mines external career site. It is important that external applicants use a non-Mines email address when applying, and that they select a password they will be able to recall at a later date. Important: We cannot correct an applicant’s file if they apply incorrectly. They will need to apply again, which will cause delays.
There are two methods to contract and pay for adjunct teaching, depending on the employee’s current role.
· If Academic Faculty are approved to teach additional course - Their current position does not change. Period Activity Pay will be used to compensate for the additional class(es).
· If someone who is not in a Ranked Teaching Faculty role is approved to teach a course: Their current position does not change. They will need to apply as an internal candidate per the JobsHub to teach as an adjunct. Additional pay for the class will be attached to the second position.

Get Started
- Log into Workday at work.mines.edu.
- Click the Search bar, enter Start Job Requisition, and select the task.
Basic Information
- Using the Prompt icon, select the supervisory organization the adjunct will be report to. The employee selected should be the supervisor of the position.
- Select add a worker to create a new position for this adjunct.
- Select No, create a new position for this job if adding a worker.
- Enter the number of openings for this job requisition. You may hire multiple adjuncts on one job requisition if all are being paid on the same worktag. Create separate job requisitions for hiring adjuncts paid on different worktags. This is easier for tracking and helps avoid errors.
Job Information
- Using the Prompt icon, select the Job Profile - Adjunct.
- Enter the relevant Job Title. The Job Title should be edited to reflect the department. For example: Adjunct Faculty, Physics, PHGN321
- Enter information in the Job Description Summary text box - It is most common to type in the course title again or add the "justification" information as this field does require text.

Worker Information
- The location the job is in will default to Colorado. NOTE: Only use ‘Colorado’ for all hiring activity.
- Leave add additional locations blank. Adding a location causes problems downstream.
- Select Employee as you are hiring a paid employee.
- Select the type of worker you are hiring - adjunct positions are “temporary fixed term”.
- Select part time for this role.
- Enter the Scheduled Weekly Hours for the role. See Addendum below. Most common is 10 hours per week for a 3-SCH course.
Cost Information
- Company will default to Colorado School of Mines. Do not edit.
- Using the prompt icon, select a Cost Center. This is simply the home department and does not dictate where the employee will be paid.
Recruiting Information
- Using the calendar prompt icon, select the date this worker will start. Keep in mind background check processing can take 7-20 days, so plan accordingly. New hires and some rehires must be able to verify onboarding documents on day 1 with MAPS. Please confirm the new hire is available to do so on the start date selected.
- Use the calendar prompt to indicate when this contract will end (usually the day grades are due after commencement).
- Using the Prompt icon, select the relevant Recruiting Instruction for this job regarding - Posting Not Required is most common for adjunct hiring unless you are advertising for candidates.

- The field primary location to post this job will default to Colorado. No changes are needed.
- Using the Prompt icon, select the relevant reason for the job requisition which are either Administrative or Recruiting. Post for Competitive to Fill or Post Internal Only.
Note: Adjunct positions should be set up as “posting not required” due to an evergreen posting that is already taking in applications
- Justification Info - This is required information for processing!
Use the justification box to indicate the assignment, driver worktag(s) and percentage(s) on each driver worktag. See below for an example:

7. Click Submit
Recruiter Review
The requisition is now submitted for additional approvals. Contact your Talent Acquisition Partner in HR directly with any questions. Contact the recruitment team at recruitment@mines.edu.
Once a job requisition is fully approved, your Talent Acquisition Partner will will move applicants from the adjunct evergreen posting in order to start the offer. Please be sure to keep up with your Workday inbox, so you don’t miss any approvals that come your way.
Employee Offer Stage (Non-student):
1. Inform your Talent Acquisition Partner (TAP) you are ready to start an offer request. Confirm the candidate name, start date, salary, moving allowance and worktag (if applicable). The TAP will move the candidate to the next stage, submit the offer details, and initiate the offer workflow. Only TAPs are able to do this.

Addendum
Adjuncts Time Type:
- Keep in mind that adjuncts are paid via a stipend on a monthly basis. Mines can not hire an hourly employee to hold a second job as an adjunct.
Classified moving to Non-Classified or Non-Classified moving to Classified:
- Classified to Non-Classified:
- For now, we need to stick with the first of the month or 16th of the month for employees moving out of Classified into another classification.
- Non-Classified to Classified (does not happen often):
- Non-CL to CL timing would be dependent on the non-CL position; therefore, we would want to look at those together before a date is set.
Helpful Tips on Temporary Employees:
- Time limits for Temporary University Staff/Non-F and Temporary Classified employees remain as follows:
- Temporary Classified – Limit of a consecutive 9-month CLTEMP is in place which is independent of whether or not they stay in one job or move around either in one department or multiple departments. After nine months of consecutive work, Statute requires a full 3-month break in service.
- Temporary University Staff/Non-Faculty (hourly or salaried)– Limited to twelve months of consecutive work.
- Temporary Research Hourly – Limited to 6 months or less and should be categorized as Temporary (fixed term) in Workday.
- If there is an ongoing need for either of these classifications, a permanent position should be discussed.

3.33 hours per week = 1 course credit hour = 8.33% FTE
6.66 hours per week = 2 course credit hours = 16.66% FTE

Within the “start job requisition” workflow in the “job details” section in Workday, you’ll simply enter the number of hours per week that corresponds to their assigned credit hours in the field below. The “3.33” you see below is an example of an adjunct that will be teaching a 1 credit hour course for the duration of their contract.
