How To: Submit an End Job for an Ended Position
Summary
An End Job is used to terminate just one position at a time. Most commonly, departments will use this when a student has multiple jobs, but they are not all within the same department/report to the same person.
Body
The End Job action should be used when a student has multiple positions on campus, but not all of them have ended.
Type the student’s name or CWID in the Workday search bar to navigate to their worker profile.
If a student has more than one position on campus, there will be an arrow icon below their name that is used to toggle between positions.
NOTE
: You will only be able to end a job within your department. If the student has multiple positions within your department, review the
Position Number
to determine which needs to be selected.
Take note of the position number that needs to be ended and whether it is the primary or a secondary position. (Secondary positions are denoted with a (+) at the end. Primary jobs will not have this.) For this example, we will be removing the secondary position as it ended on 12/15/2023.
From the student's worker profile , click
Actions
below their name.
Actions
>
Job Change
>
End
Job
A new screen will appear and prompt you to determine if you are ending the Primary or an Additional Job. In this example, we are ending a secondary job, so we will choose Additional Jobs and select the position number noted earlier. Click
OK
.
Enter the contract end date in the End Date field. (
NOTE
: If this date is not possible based on other changes, red text will appear indicating the earliest possible date that can be used. In this situation, select the earliest possible date Workday will allow.)
If the end job is due to an expired contract, the
Reason
will be
End Additional Employee Job
>
Involuntary
>
Assignment Complete
If the reason is due to anything other than the contract ending, the Reason should be
End Additional Employee Job
>
Voluntary
>
Other Additional
documentation from the student will be required if they resign prior to the contract ending.
After submitting the termination, the task will be routed to the MAPS office for review and approval. If more information is needed, we will send the task back with a comment indicating what will need to be included.
